Brief

Improve our Enterprise offering and create features to help Admins improve engagement rates.

Solution

Design a dedicated Challenges feature for Insight Timer’s Enterprise platform, aimed at boosting employee engagement by allowing Enterprise Admins to easily create, manage, and share challenges within their organizations.

Background

Currently, our consumer Challenges feature has proven highly successful, increasing user engagement and daily active user metrics. Enterprise Admins have shown strong interest in a similar feature to engage employees. Some have already been creating challenges manually, representing demand for a streamlined, tailored solution.

Research phase 1: Initial interviews with Admins

Through ongoing conversations with Admins, we gained valuable insights into the specific features they would like in an Enterprise challenges offering. Admins expressed a strong interest in tools that allow them to track app usage, monitor sign-ups and engagement levels, and recognise participants who reach set goals. They highlighted the importance of a social element to motivate and encourage team participation and involvement, a need for newsletter/promotional assets to communicate the challenge to the team and the ability to share specific content each day for users to listen to. Admins also told us that they would like to be able to preview the challenge before they publish to the team, this way they can check for errors.

Product specs

It was decided in multiple strategy meetings that the first version of the Workplace Challenges product would include;

1. A goal based (bronze, silver, gold) structure, alongside a leaderboard with stats available for the individual to view their progress.
2. Fixed length options (7,14,21) that align with the goal based structure.
3. Admins will have access to a detailed stats view.
4. Interactive daily questions.
5. Practice your way format – no content suggestions.
6. For version 1, it was decided we would go mobile first and then adapt the end version to desktop as our main user experience is on the app, it kept it simple for our users.

User flows

As this is a quite complex feature, it was important to identify and plan the user journey for both Admins and participants throughout the Challenge experience including any comms.

The key identified flows:
1. Create (Admin only)
2. Invite (Admin and Participant)
3. Join (Participant: New workplace user, existing workplace user, non workplace user)
4. Not started (Admin and Participant)
5. In progress (Admin and Participant)
6. Challenge ended (Admin and Participant)

Research phase 2: Admin creation flow

Usability with Admins and the creation flow (prototype): We interviewed 10 Admins and walked them through the challenge creation flow, from initial setup to the final in-app view. All Admins indicated they were comfortable creating challenges directly in the app. However, key insights emerged: Admins expressed a need for more guidance with setup, including naming, descriptions, and suggested content to drive engagement. While some appreciated the flexibility of creating custom challenges, our findings suggested that a templated challenge creation flow could be more effective. We shared this idea with the team and our test group, who agreed with this direction.

High fidelity designs

In collaboration with the Chief Product Officer, we finalized the user flows based on our research findings. Key decisions included:

  • Creating templated challenges by repurposing consumer challenges, providing users with daily content suggestions. I worked with an Illustrator to create the challenge template designs and illustrations. For the template content and descriptions, I worked closely with our Head of Teachers and Content team to repurpose and source content/copy for each template.
  • Enhancing social interaction with daily questions, inspired by a similar feature in our Courses product.
  • Refining the progress bar to improve clarity and help users easily track their progress.
  • Adding clear challenge instructions within the Join flow to guide participants.
  • Designing and launching email communications for both Admins and Participants to support them throughout their journey.
  • Ability to set a reminder to practice each day to stay involved
  • Celebrating wins when a user has reached a goal within the experience and at the end of the challenge.

Communication timelines

As part of this feature, we received feedback that users would like to know different stages of their progress through confirmation email. As we decided to run both 7 and 28 day lengths, I mapped out the full communication flow and email designs/in app notifications.  

Website landing page

To market the Workplace Challenges, we designed a landing page which aimed to encourage Admins to sign up to a free trial and experience the Workplace Challenges product. Preview the full design here

Web creation experience: Admin dashboard

As we launched a new and improved Admin Dashboard, we decided to allow Admins to create Workplace Challenges from within their Admin Dashboard. After launching the app version, this was in high demand from Admins despite initial research indicating that Admins wouldn’t mind using their mobile device to create the challenge. For V1, I adapted the app design and repurposed for larger screen sizes. I worked very closely with our Web app/Desktop development team to finalise and polish the final build.

As part of this side of the project, I also created a resources section in the Admin Dashboard for Admins to easily access resources to help launch their challenge.

Participant survey

When a participant finishes the challenge, we send a survey to gauge the overall experience. This survey is kept short and simple to entice more fully completed forms. Highlights include;
– 100% of users scoring the join experience as a 4-5 (very good)
– 100% of users enjoying the freedom to choose how they practice.
– 79% of users scored the challenge as an excellent experience.

Admin survey

When a challenge ends, we send the Admin a survey to understand how we can improve their experience. Admins have told us that they love the leaderboard and seeing their employees individual participation as well as overall stats. The biggest request was for challenges to be locked to specific teams/departments. This is a great opportunity for the Enterprise product in the future.

Data analysis

Analyzing the data, we find that Workplace Challenges generally boost daily usage. Admins who used promotional materials saw higher participant engagement, and those who created their challenge at least 14 days in advance were more likely to run a successful challenge. We can also see that users are 70% more likely to listen to content provided within the challenge details screen, rather than choosing their own method.

Next steps

Create a timeline for Admins to launch a challenge successfully and provide specific templates for promotional assets to help Admins get their members to join and participate from start to finish.
